Privacy Policy

In short: this website does not use cookies, analytics or ad trackers. When you register for Axios '26, we collect the details we need to run the event: your name, email, phone number, college details, team details and any accommodation request. We use them only for Axios and we do not sell them.

Axios '26 is a technical symposium organised by the Computational Sciences Association (CSA), Department of Applied Mathematics & Computational Sciences, PSG College of Technology, Coimbatore, 641004 ("CSA", "we", "us"). CSA is responsible for the personal data described in this policy.

2. Data we collect

When you browse this website

The website is a static page. It sets no cookies and runs no analytics or advertising scripts. Like any web server, our hosting (the college server and Cloudflare) keeps standard access logs: your IP address, browser user agent, the page requested and the time. Fonts are loaded from Google Fonts, so your browser also sends your IP address to Google when the page loads.

When you register on the portal

  • Account details from Google sign-in: your name, email address, whether Google has verified the email, and your profile picture. We do not receive your Google password.
  • Registration details you enter: such as your phone number, college, department, year of study, roll number, the events you pick and your team members.
  • Accommodation requests: the names and phone numbers of the people staying, and any notes you add.
  • Payments, if an item needs one: the amount, status and Razorpay order and payment references. Card, UPI and bank details are entered on Razorpay's own checkout and never reach us.
  • Event records: check-in and attendance, team membership, submissions and results, and the name printed on your certificate.
  • Security logs: sign-in events, IP address and browser user agent, used to protect accounts.

At the event

Photographs and videos are taken at Axios for event coverage. You may appear in them. See section 7 if you would rather not be featured.

3. How we use your data

  • to create your account, register you and your team, and confirm your place;
  • to send you event emails: confirmations, schedules, venue changes and results;
  • to check you in, run the events, judge entries and issue certificates and prizes;
  • to arrange accommodation you asked for;
  • to keep the portal secure and fix errors;
  • to publish event coverage and winners' names on our website and social media.

We process your data with your consent, which you give when you register, and for the legitimate purpose of running the event you signed up for. You can withdraw consent at any time (section 7). We do not sell or rent your data, and we do not use it for advertising.

4. Who we share it with

  • Event coordinators and volunteers at CSA and PSG College of Technology, who see what they need to run their event or desk.
  • Sponsors, only as a winner's name and college in public announcements. We do not hand participant lists to sponsors.
  • Service providers that run parts of the service for us, under their own security terms:
    • Google, for sign-in and web fonts;
    • Razorpay, for payments;
    • Microsoft Azure, for sending email and storing files;
    • Sentry, for error reports, which have personal details removed;
    • Cloudflare, which hosts the axios.live mirror.
  • Authorities, if the law requires it.

Some of these providers may store data outside India. They are bound to protect it.

5. Cookies and browser storage

The event website sets none. The registration portal uses a sign-in cookie that keeps you logged in and a security cookie that protects forms. It also saves a few display preferences, such as light or dark theme, in your browser. None of these are used for tracking or advertising.

6. How long we keep it

  • Sign-in sessions expire after 7 days of inactivity.
  • Security logs are deleted after 180 days.
  • Registration, attendance and certificate records are kept for as long as needed to run Axios '26, verify certificates and meet the college's record-keeping needs. After that they are deleted or anonymised.

7. Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask us to:

  • tell you what personal data we hold about you;
  • correct or update it;
  • delete it, and close your account;
  • withdraw your consent;
  • leave you out of published photos, or remove a photo of you.

Email axios@psgtech.ac.in from the address you registered with. We will reply within 30 days. If deleting your data means we can no longer run your registration, we will tell you first.

8. Participants under 18

Axios is for college students. If you are under 18, register only with the consent of a parent or guardian. If we learn that we hold a minor's data without that consent, we will delete it.

9. Security

All traffic is encrypted with HTTPS. Access to participant data is limited to coordinators who need it. No system is perfectly secure, so if you notice something wrong, tell us at axios@psgtech.ac.in.

10. Changes to this policy

We may update this policy. The date at the top shows the latest version. If a change affects how we use data you have already given us, we will email registered participants.
